Meeting Minutes
October 20, 2014

I.   Treasurer Report


J     Jenn gave her first report and went over the Yearly budget that she prepared (Thanks to Jenn and Tracy for this detailed accounting)
We received the Gaming grant into our account for $5000- this brings the balance for Gaming to $5051.59 and total for both accounts to $11,957.70
New items to allocate for are:
We need to purchase new bins for the hot lunch – need an estimate of cost
$200 for the Super Reader program – Amy made a motion to approve, all in favor
Ange made a motion to approve the budget, Lara 2nd, all approved. (Natalie wasn’t here at the time of review)


II.    Principal’s Report


      Deneen is taking classes of students 1x a week for a half hour(in the gym) throughout the year while the teachers work together to collect data and work on problem solving lessons regarding risks and challenges for each grade level . Deneen will be working on ‘Virtues Project’ which incorporates use of ‘Auto Be Good’ videos (this program is being used at some other local schools)
Deneen asked if PAC would purchase the ‘Auto be Good’ DVD’s at a cost of $800. Amy made a motion to approve the amount, Natalie 2nd, all in favor
2.    She also introduced the new Library Book Computer Program (Follett Destiny quest) which the School District is hoping to have all the schools using by the end of the school year (mandated). This program will be a great addition to the school as it allows the children and parents at home to access other research material info from other schools, reserve books online, it will give an overview of the books that you are requesting, the reading levels for books and summaries. It is very user friendly for the kids. The program will cost $2600 + $500(total cost of $3100) a year for the Web Quest feature (which allows parents to access at home). There is a possibility that there may be a school discount as there are a few schools that are interested in purchasing the program within the next month. The discount could lower the price to $2200 + $500 for the Web Quest feature (total cost of $2700). There is also a training cost of $2000 for Mrs. Bergen to be shown how to operate the program but Deneen is looking into other options so that this fee would not be needed. $500 is a yearly fee that will be needed to pay for the Web Quest program.
Deneen is asking if the PAC would help with the cost of this program. With this purchase Mrs. Bergen would also receive a new computer for the program.
Jenn H put forth a motion that the PAC agree to pay $2600 for the program and if we get the multi-school discount of $2200 then the PAC agrees to pay up to $2700 (to cover the $500 Web Quest fee for this year). All are in favor. Deneen is hoping to have the program up and running by December 1 and she hope to have the cost confirmed by next week.
3.    It was decided at this time to table the $10 per child that the PAC contributes towards Field trips as we will look into this early next year when finances increase and as Field trips are more abundant at that time.
4.    Pictures are October 21 and Re-takes will take place on November 28
5.    Deneen will kiss a calf this Thursday in the Gym at 1:30pm for raising the amount for the Terry Fox Run. We are still short $500 on this goal and kids are encouraged to bring in any extra change they have up till Thursday.
6.    The cut-n-carve is on Thursday, October 30 and kids can wear orange and black this day.
7.    The Read-a-thon is on Friday, October 31 in the gym from morning to lunch time. We will have 2 Guest speakers. Kids can wear PJ’s this day.
8.    There is early dismissal on Thursday, November 6. Teachers may arrange interviews, check with your teachers.
9.    Remembrance Day assembly on Friday, November 7
10.    No school on Monday and Tuesday, November 10 and 11
11.    Mr Baker art is hoping to be confirmed to start on November 3. In the past the PAC has paid for half these fees with the school paying the first fee in Fall and the PAC paying the fee in the Spring session.


III.    Old Business


      Terry Fox run went well but there were a few concerns expressed by parents regarding the amount of extra people/ dogs that are on the trail and the concern of the younger kids not knowing to turn around at the Peach Road water station and possibly taking wrong paths. We discussed having signs visible to the kids and parents to let them know when the younger grades should be turning back to the start. We also discussed options of location change for next year – Watson Glen and Fairfield Park.
2.    First Hot lunch of the year went well; we had lots of people helping. Thanks
3.    Sylvia has started the Poinsettia Fundraiser and the forms will be sent out shortly. November 21 will be the cut-off date with delivery set for December 3/4


IV.    New Business


      Movie night is this Thursday, October 23. Doors open at 5:30pm and show starts at 6pm. We need parents to help with popping the corn. Natalie and Lara will pop on Thursday morning till 11am. Natalie will check the supplies.
2.    Deneen asked to have copies of all forms that we send out such as hot lunch forms and movie night forms- please place a copy in her mailbox outside her office.
3.    Pancake breakfast date is Friday morning December 5. We need volunteers to help cook, start time would be 6:30am. Karen volunteered to help.
4.    Christmas store is December 10/11
5.    We will have a Spaghetti Dinner in February, date to be set at next meeting. Ideas tossed around are:
•    Raffle baskets
•    Donation requests – letters to be written for local business donations
•    Baskets from each class for raffle
•    50/50 draw
•    Silent auction
•    Face painting – we will need someone for this if anyone has a contact?
•    Principal for the Day.

PAC Meeting - September 30, 2014

Treasurer Report

Hot lunch deposits went in $1083 profit

No outstanding cheques to be cashed - Waiting for dog tags invoice

Profit of $4637.87for a combined total (Savings/Game account) =$6643

Playground paid off

Waiting for news of gaming grants (amounts to $20 per child) - to be used for extracurricular activities, community use, field trips.

Mandy mentioned can we have a proposed budget for the year for the things we have paid for in the past that are regular. Natalie to work with Jen to prepare one for next meeting

Need to set up 2 signing cheques signatures –remove Nicole Johnston from signing authority and add Jen Hooge as Treasurer with Amy Herfst and Karen Steinebach as 2nd signatures. Also remove Natalie Sache.

 

Hot Lunch

Amy went over the hot lunch format for new parents

Looking for 4 people to do the counting of hot lunch orders and money - Jen, Sherry, Amanda, Sylvia. Maggie volunteered to help if stuck. Lisa/Chandra on Mondays

If we have dedicated parents that are willing to help with specific menus that is easiest –

Pizza Day – Maggie,

Hot dogs Day – Andrea/Amanda,

Subway Day - Amy

Propose that the forms go out on Mondays- with  forms returned by that same Friday, counting on the following Mondays – order by Wednesday

Info to be posted on school website, Facebook, blog (www.eceblogspot.com)- people can get the order forms on all three locations

Forms set up on legal to help with the spacing of the forms so that there is enough room to print the class and students name on each order and so that when cutting the information is not cut off. Please make sure that if you have children in other classes that you send the proper forms in with your children or make sure the teacher’s name is prominent/ money can go in with one order.

 

Principal’s Report

Teachers have been trying to get things organized and get everything back to normal

271 students this year - New portable for next year and new division due to the increase in houses being built in the area

Lunch is now 12pm -12:45pm

Recess 10:05am -10:20am

Deneen asked for budget info to be released

Meet the teacher- no BBQ this year due to rushed planning –Please come and meet your teachers in their classrooms this Thursday, 2pm, at 2:40 make your way to the gym for announcement to introduce teachers

Terry Fox Run – 10am -11am Grades 1-6 at the Rotary trail (Vedder entrance) on Oct 10. Please have everyone, wear red. All students will have running buddies. Need parents at the turn around, water stations (5).

Kindergarten will run after 11:30 in the field

Natalie motioned to buy cups for run, Mandy 2nd

Lots of forms coming home within the next week (double sided forms)

-          FOI forms

First Friday of the month newsletter posted to website

Insurance available online – info in the newsletter

Volunteer orientation – for new parents only, Oct 7 – 8:10am, Oct 8 – 1:30pm

Criminal record check every 4 yrs. at our school. Driver forms need updating every year with abstract

Read a thon and PJ day on Oct 31

Jerseys – ECE with the hawk on the front- jerseys stay at the school- they should arrive within the next couple weeks

Deneen will personally deliver trophies to past grade 6’s

 

New Business

Kerry will still collect soup labels if we get lots of them in we can purchase some really cool things for the school. Check the website for what is valid www.labelsforeducation.ca

Movie nights – Rio 2 - Thursday, Oct 23 - 6pm movies start, doors open 5:30, pizza order forms to be sent out for those interested in ordering pizza by slice or box.

Sylvia will send out poinsettia forms- no pressure to purchase if not interested

Sherry will send out information or ordering new school Shirts – hoodies for October. Also some other possibilities of shorts or sweat pants.

Staff appreciation – Andrea approved, Sylvia 2nd- October 10- Amy will pick up from Appledorns

$231 approx. is the cost

We will discuss possible other events such as pancake breakfast for sometime in late November/early December. Amy to contact Tara. Possible Spaghetti Night in February will be tabled till later in the year.
